Lesson 11

TRAY SYSTEM
Your in-tray, pending tray and exit tray should always be in reach, in order to work efficiently. (according to K. Gleeson).

It is used for documents, letters and notes that

have not benn senn or processed.

You shouldtake documents from this tray

immediately. If you have a secretary, the mail

should be classified and separated into folders

marked with their level of priority. For example, if

a signature is required, if they are urgent

documents, memorandums, reading, etc.

Pending in the short term 24-48 hours.

For matters that you have tried to attend to but

not been able to finish (for example, if you need

to wait for information, or calls or if the matter

has been suspended because of something

urgent). You should not use this tray to put off

work, incomplete projects, difficult subjects, etc.

Here you can place everything that has been

dealth with.

Optional, if you have a lot of reading material,

avoid it accumulating by reading the short

articles immediately, quickly revising the

contents tables and shortening the articles,

sharing the bulk of the reading with other

colleagues from the department so that they can

summarize. Always give yourself a certain

amount of time for essential reading.

The tray system has been presented to us by K. Gleeson, and I can confirm that it is an easy way to organize a day's work. Recently I started using this method and I have had some interesting results. If you need to organize your office and "desk", the trays can help you with this task.
