Saving time by having your documents organized

How many times have you looked around your office for an important document? You don't know where to find it, has it gone missing?

Generally, we don't efficiently organize our documents and therefore, when we look for them, we realize that they have gone missing!

In order to find them, we generally search the whole office and then eventually find them. Then the next task is to organize what we have just disorganized and this adds a great deal of stress to the situation.

"I know an extremely organized person. He always has his files in order, he saves important documents and he labels each folder so that he knows what is inside.

When he needs a document, he goes directly to the necessary folder or archive. He never wastes time searching through things.

Once he has used the document, he returns it to its initial position. If you do not want to use the original documents, you can archive copies together with the originals, this way when they need to be used, you only need to use the copy."

When he opens a folder, he has a quick look through to find out what is in the folder, if there any documents that he no longer needs he throws them away, so that he doesn't feel the work accumulating and he is always organized.

"A friend of mine suggested that I always keep copies of my personal documents: Driving licence, electoral role, passport, National Insurance number, etc. If you have copies of these documents in a safe place, you will always be on top of things.

Imagine that you go out and buy something for the house, something for the office, furniture, software programmes, etc, I recommend that you keep the guarantees, manuals, instructions in a separate folder, so that when you need a document of this type, you know where to look for it."

Periodically go through this folder and throw out any unnecessary documents.

Now, I am going to give you some advise about your computer. Everyone knows that when buying a computer, you are not buying more than the computer, you will have: guarantees, licenses of programmes, receipts, etc. Therefore, it is a good idea to have a separate folder for the computer information. This way if you require something you can get it instantly e.g. what type of cartridge does the computer use? What RAM does the computer have? Theses and other questions you can respond easily if you have the computer guides at hand.

Don't waste your valuable time, enjoy life to the maximum! Enjoy a less stressful life.
